AI Consent Policy

1. What This Consent Covers
Sociara offers optional AI-assisted features designed to support your healthcare team. By opting in to AI assistance, you consent to the use of artificial intelligence tools during your consultations as described in this policy.
2. How AI Is Used in Your Care
When you opt in, AI tools may be used to:
- Clinical note-taking: Automatically transcribe and summarize your consultation conversations to assist your healthcare provider with documentation.
- Clinical summarization: Generate structured summaries of your consultation to help your care team capture key details.
- Communication assistance: Help your healthcare provider draft clear, accurate follow-up communications.
AI features are assistive only. All AI-generated content is reviewed by your healthcare provider before it becomes part of your clinical record. AI does not make clinical decisions, diagnoses, or treatment recommendations.
3. How Your Data Is Protected
3.1 Data Never Leaves Canada
All AI processing occurs within AWS ca-west-1 (Calgary, Alberta, Canada) using AWS Bedrock through a Virtual Private Cloud (VPC) endpoint. Your data never leaves the VPC or Canadian infrastructure.
3.2 Encryption
All data sent to and from the AI service is encrypted in transit (TLS 1.2+). The data stored in your consultation records remains encrypted at rest using AES-256-GCM, the same standard applied to all personal health information on Sociara.
3.3 No Model Training
Your consultation data is not used to train AI models. AWS Bedrock does not retain input or output data for model improvement. Your data is processed in real-time and discarded after the response is generated.
3.4 Audit Trail
All AI interactions are logged in the same immutable audit trail used for all PHI access. Your healthcare provider and compliance auditors can review when and how AI was used during your consultations.
4. What Happens If You Do Not Consent
AI features are entirely optional. If you choose not to opt in:
- Your care quality is not affected — your healthcare provider will manually document your consultation
- No AI tools will process your consultation data
- You can opt in at any time later through your patient profile
5. Withdrawing Consent
You may withdraw your AI consent at any time by contacting your clinic or updating your preferences in your patient profile. Withdrawal takes effect immediately for future consultations. AI-generated content from past consultations that has been reviewed and incorporated into your clinical record by your healthcare provider will remain part of your medical record as required by healthcare regulations.
6. Limitations of AI
AI-generated content may:
- Contain inaccuracies or miss important nuance from your conversation
- Not capture non-verbal cues, tone, or context that a human would observe
- Require correction or supplementation by your healthcare provider
For this reason, all AI-generated clinical content is reviewed by a licensed healthcare provider before being finalized. You are encouraged to review any AI-generated summaries shared with you and flag any inaccuracies to your care team.
7. Changes to This Policy
We may update this AI Consent Policy as our AI capabilities evolve. If we make material changes to how AI is used, we will notify you and request renewed consent before applying changes to your consultations.
